1. Who we are
VERA ("VERA," "we," "us," or "our") provides a private documentation tool that allows workers to record workplace incidents, evidence, and timelines for their own use. Contact: info@think-speak-create.com. VERA is not a law firm and does not provide legal advice.
2. Information we collect
Information you provide directly: account information such as the email address you use to create your account, and the records you create — incidents, notes, timelines, evidence files, and any content you choose to add to your private record.
Information collected automatically: basic technical information needed to run the app reliably and keep your account secure. We do not collect more than what is needed to provide VERA to you.
3. How your information is stored and protected
Your records are stored on secure servers operated by our hosting and infrastructure providers, protected using industry-standard security measures including encryption in transit. Access to your records is controlled by you. You decide what to export or share.
4. How we use your information
We use your information only to provide and maintain the VERA app and your private record, keep your account secure, respond to your support requests, and comply with legal obligations. We do not use your records for advertising, and we do not build profiles of you for marketing.
5. Sharing and disclosure
We do not sell your data. We do not sell your records, workplace information, or personal workplace experiences to anyone. Your employer cannot access your records through VERA. Employers are not notified that you use VERA. We share information only with service providers who help us operate the app and are contractually required to protect your information using the same or equal privacy and security protections described in this policy. We may also share information when you choose to share or export it, or when required by valid legal process limited to what is strictly required.
AI Drafting and Rewrites
VERA offers optional AI-assisted drafting and rewriting features. These features are off by default and are not required to use VERA.
When a user chooses to use AI-assisted drafting or rewriting, VERA sends only the minimum selected details needed to generate the draft. This may include the incident title, incident date or approximate date, incident description entered by the user, selected recipient role, draft purpose, selected tone, and any text the user chooses to include for that drafting task.
VERA does not send uploaded evidence files, audio recordings, videos, photos, PDFs, payment information, passwords, demographic or identity self-identification, unrelated records, Growth/Promotion/Pay records, Employment Outcome Tracker records, or other users' data to AI.
The VERA app does not contact an AI provider directly. AI requests go from the VERA app to VERA's backend. VERA's backend then calls VERA's AI subprocessor, Anthropic/Claude via the Emergent LLM gateway, only after the user has granted AI consent.
The data flow is:
VERA app → VERA backend → Anthropic/Claude via Emergent LLM gateway → VERA backend → VERA app
Before AI-assisted drafting or rewriting runs, the user must review and accept the in-app AI Disclosure & Consent screen. Users may decline AI and use the non-AI Basic Template option instead. Users may also revoke AI consent.
Without current AI consent, VERA blocks AI-assisted drafting and rewriting. If consent is not granted or has been revoked, no drafting data is sent to Anthropic/Emergent.
VERA does not retain the raw AI prompt. VERA keeps only drafts the user chooses to save.

6. Your rights and choices
You can access the records you have created inside the app, delete your account and your data at any time, and contact us with any privacy question at info@think-speak-create.com. To delete your account, see our Account & Data Deletion page.
7. Data retention
We keep your records for as long as your account is active. When you delete your account, we delete your associated records.
8. Children's privacy
VERA is intended for adults in the workplace and is not directed to children under 18. We do not knowingly collect information from children.
9. Changes to this policy
If we update this policy, we will revise the "Last updated" date above and, where appropriate, notify you in the app.
